3. REGISTRY OFFICER (ON CONTRACT) – REF: RO/SIT2019

The job incumbent will:

  1. report to the Chief Finance Officer.

  2. be responsible for the setting up and administration of a Registry for the SIT Group.

Duties

  1. To receive, record and distribute incoming and internal mail of all kinds (such as letters, e-mail, memoranda and faxes).
  2. To build up and control all officially registered files and other documentation in thecustody of the Registry, so that they can be produced quickly by means of effective indexing, classification and tracking procedures.
  3. Track down officially registered files in the Registry and be able to produce them quickly, by means of effective indexing, classification and tracking procedures.
  4. To provide storage, repository and reference services for all officially registered files and other documentation in the Registry.
  5. To record and arrange for the efficient and timely despatch of all correspondence of SIT Group.
  6. To review and dispose of all inactive files or other records in accordance with the Company’s policies.
  7. To implement a computerised registry system for SIT Group.
  8. To use minute sheets to ensure recording of decisions and chronology of events/operations.
  9. To ensure proper referencing of documents filed through attribution of folio numbers.
  10. To develop record management and registry policy and procedures for the good running of the Registry.
  11. To keep on record all documents related to payments, variations, amendment to Contract among others.
  12. To perform other duties related to the main duties listed above or to the delivery of the output and results expected from the Registry Officer and/or cognate duties as may be assigned by Chief Finance Officer

    NOTE: The Procurement Officer may be required to work outside normal working hours.
